Sample Letters and E-mails

The ACA Leadership Manual includes several sample letters available for download in Word format that can be mail merged with reports available from AAR, the ACA online reporting system. The letters, which can be downloaded below, include the merge fields that match the reports from our online reporting system.

• 2024 (A) Sample Letter from Pastor to Those Who Gave Last Year (LYBUNTS).docx  This letter could be sent from the pastor on parish letterhead to parishioners who made a gift last year just prior to Appeal Sundays with associated online report "Current Year LYBUNTS."
• 2024 (B) Sample Letter from Pastor to Those Who have Given in the Past but not Last Year (SYBUNTS).docx  This letter could be sent from the pastor on parish letterhead to parishioners who have given in the past but did not make a gift last year just prior to Appeal Sundays with associated online report "Current Year SYBUNTS."
• 2024 (C) Sample Letter from Pastor to Those Who Have Never Given.docx  This letter could be sent from the pastor on parish letterhead to parishioners who have never made a gift to the Appeal just prior to Appeal Sundays with associated online report "Never Givers."
• 2024 (D) Sample Letter from Pastor to Those Who Have Not Given After Appeal Sundays.docx  This letter could be sent from the pastor on parish letterhead to parishioners who have not yet made a pledge after Appeal Sundays have occurred in the parish with associated online report "Current Year Not Given."
• 2024 (E) Sample Letter from School Principal-DRE.docx  This letter could be sent from the school principal or parish DRE to families with children in the parish school or PSR program prior to Youth Appeal in parish.
• 2024 (F) Sample Letter from Pastor to Those Who Gave Between $500-$999 Last Year.docx  This letter could be sent from the pastor on parish letterhead to parishioners who made a gift last year of $500 or more asking them to consider becoming an Associate.
• 2024 (G) Sample Thank You Letter from Pastor for Gifts less than $1000.docx  This letter could be sent from the pastor on parish letterhead to those parishioners who gave less than $1,000 using the associated online report "Current Year Pledge Detail."
• 2024 (H) Sample Thank You Letter from Pastor to Associates.docx  This letter could be sent from the pastor on parish letterhead to those parishioners who gave more than $1,000 using the associated online report "Current Year Pledge Detail."
• 2024 (I) Sample Email from Pastor.docx  This email can be sent from the pastor to parishioners, either through the parish itself or through various organizations in the parish just prior to Appeal Sundays.
• Envelope.docx  This file can be used to generate #10 envelopes from a mail merge using any online report.
• Labels.docx  This file can be used to create mailing labels from a mail merge using any online report. It is formatted for Avery 5661 labels.

Most of these letters correspond to detailed parish reports that can be downloaded from the AAR system. AAR reports can be viewed and printed or they can be downloaded as a spreadsheet for further analysis or mail merges.
